ORGANIZATION SUMMARY

Organizing Neighborhoods for Equality: Northside (ONE Northside) is a community organization resulting from the merger of Lakeview Action Coalition and Organization of the Northeast in 2013.  Together, LAC and ONE had a history of nearly 60 years of powerful and effective community organizing.  ONE Northside organizes people from dozens of institutions as well as individual community residents from Rogers Park, Edgewater, Uptown, Ravenswood, North Center, Lake View, and Lincoln Park.  

Mission:  Organizing Neighborhoods for Equality: Northside is a mixed-income, multi-ethnic, intergenerational organization that unites our diverse communities. We build collective power to eliminate injustice through bold and innovative community organizing. We accomplish this through developing grassroots leaders and acting together to effect change.

POSITION SUMMARY

The Operations Assistant will provide leadership and support to our entire team by ensuring the smooth operation of the infrastructure and systems that allow ONE Northside to do our vital work. This person will assist the Operations Manager in fiscal management and reporting, data management, and office management. They will work closely with our community-based programs to ensure timely and efficient data monitoring and accurate reporting of our program outcomes to all stakeholders. 

RESPONSIBILITIES

Administrative/Office Management

  • Attend weekly staff meetings and organization-wide events; Provide logistical support, as needed, for the organization.
  • Provide computer troubleshooting support and other basic IT support; serve as liaison to IT consultant; set up, accessorize and categorize new equipment; maintain organizational equipment inventory list; oversee anti-virus subscription renewal and installation on all devices; recycle outdated equipment.
  • Oversee the maintenance of the office space; order new office supplies and equipment as needed; correspond with building management when necessary for work orders or requests; order and refresh office snacks and coffee when needed; assist team members with requests related to their office environment.
  • Assist the management team with other tasks, as assigned

Financial Support/Management, Data Management and Reporting

  • Maintain financial records under the direction of the Operations Manager; manage electronic records; organize physical document destruction per organizational policy.
  • Assist in creating monthly fiscal reports to submit to the various funders that support the Violence Prevention Program, the Parent Mentor Program and more by documenting monthly fiscal activity and calculating voucher totals.
  • Create, prepare and submit programmatic reports monthly, quarterly and annual reports as requested by funders for the Violence Prevention team and other programs as assigned, in collaboration with the Grants Manager and program leads.
  • Supporting Operations Director in preparing deposits, paying bills and running payroll
  • Support the Violence Prevention team’s data management and collection by learning and understanding their collection methods, such as the REDCap database, and by attending regular meetings and check-ins with them and partners.
  • In collaboration with the Violence Prevention program management, assist the team with their data management workflow and troubleshoot data collection and compliance. 

QUALIFICATIONS

  • The most important qualifications for this position are good problem solving skills and the willingness and ability to learn new things. 
  • Have a BA degree or equivalent life experience.
  • Have excellent written and verbal communication ability and be detail oriented.
  • Ability and commitment to maintain a high level of confidentiality.
  • Be an excellent team player; able to meet deadlines and work independently; innovative; creative; mature thinking and reasoning; a problem-solver; organized.
  • Commitment to the mission of ONE Northside.
  • Be proficient in Microsoft Office and Google Suite.
  • Not required but nice to have: A working knowledge of Quickbooks; ADP payroll system; Powerbase and Action Network database systems or similar CRMs; Authorize.net and ActBlue payment processing systems.

This position is a full-time position.  This is an in-person position, with some at-home days allowed in consultation with your supervisor. Currently our office observes a hybrid policy: 3 days in the office and two working remotely. Occasional weekend and evening participation in organization-wide events is also expected. The expected working hours are Monday-Friday, 9-5pm or 10am-6pm.

COMPENSATION:

  • Salary is in the $49,482 – $55,000 commensurate with experience
  • The comprehensive benefits package includes employer paid medical and dental insurance. Employer contribution of 4.5% of salary into a retirement plan, beginning after one year of employment. 13 paid vacation and personal days the first year, 12 wellness days and 18 paid holidays.
